Job Description
The Procurement Assistant will provide support in conducting procurement and disposal activities in keeping with internal procurement policies and procedures. This position will be involved in performing administrative duties including handling information of a confidential nature. This person must be well-organized, flexible and enjoy the challenges of supporting the procurement departments objectives.
Key and Critical Responsibilities
Assists in the solicitation of bids/offers from the supply market in a manner determined in the procurement plan. <div> Assists with sourcing suppliers, preparing and processing of purchase orders and issuing requests for quotations. </div><div> Provide administrative support directly to the Procurement Manager and performs a variety of clerical duties ensuring orderly and timely delivery of documents and reports. </div><div> Prepares all necessary documents prior to tender openings and updates for tender openings. </div><div> Prepares and maintains databases and filing systems for tenders, tenderers, projects, and purchase orders on a real-time basis. </div><div> Maintains adequate records relating to the Departments activities in a manner that ensures confidentiality and contributes to decision making within acceptable timeframes. </div><div> Maintains an effective filing system for all correspondence received and dispatched from the department. </div><div> Facilitates meetings and maintains minutes/notes of the proceedings of such meetings. </div><div> Establishes and maintains an effective record management system. </div><div> Maintains and adequate inventory of stationery and office supplies within the department. </div><div> Assists with the research, analysis and preparation of reports. </div><div> Perform other related duties as required. </div><div><br></div>
