Job Description
The Executive Assistant is responsible for providing general and specific administrative support services to the office of the Health Safety and Security (HSS) Manager.
Key and Critical Responsibilities
<ul><li><span style="letter-spacing: 0.4px;">Receive, respond to and dispatch all correspondence on behalf of the HSS Manager.</span></li><li><span style="letter-spacing: 0.4px;">Assist in the research, co-ordination and production of projects, reports and proposals.</span></li><li><span style="letter-spacing: 0.4px;">Develop database of security breaches and incidents and maintain records for future reference.</span></li><li><span style="letter-spacing: 0.4px;">Develop and maintain departmental filing systems, including HSS records relating to accidents, incidents, near misses, inspections, training, safety orientations and emergency drills</span></li><li><span style="letter-spacing: 0.4px;">Assist in the preparation of the budget for the HSS Department.</span></li><li><span style="letter-spacing: 0.4px;">Assist in preparing for Internal HSS audits, surveys and preparation of reports.</span></li><li><span style="letter-spacing: 0.4px;">Provide direct secretarial support and services to the HSS Manager.</span></li><li><span style="letter-spacing: 0.4px;">Issue correspondence to Managers and Supervisors with respect to HSS Meetings.</span></li><li><span style="letter-spacing: 0.4px;">Maintain a supply of office stationery and supplies to ensure the efficient operation of the department.</span></li><li><span style="letter-spacing: 0.4px;">Record and preserve the minutes of meetings of the department.</span></li><li><span style="letter-spacing: 0.4px;">Ensure all statutory requirements are adhered to and complied with.</span></li><li><span style="letter-spacing: 0.4px;">Assist with the coordination and administrative arrangements for HSS training, safety orientations, emergency drills and other departmental activities.</span></li><li><span style="letter-spacing: 0.4px;">Compile and maintain security patrol records and information generated through the Department's security monitoring systems.</span></li><li><span style="letter-spacing: 0.4px;">Assist with the preparation and follow-up of HSS Department Purchase Requisitions and maintains associated records.</span></li><li><span style="letter-spacing: 0.4px;">Provide administrative support for Safety Committee activities, including the preparation and distribution of documents and follow-up of assigned action items.</span></li><li><span style="letter-spacing: 0.4px;">Perform other job-related duties which may be assigned from time to time.</span></li></ul>
Key Competencies
<div>MINIMUM QUALIFICATIONS</div><ul><li>Five (5) CXC/GCE Ordinary Level subjects including English Language</li><li>Administrative Professional Secretaries Diploma.</li><li>Certification from the Chartered Governance Qualifying programme (formerly ICSA).</li><li>Certificate in Occupational Health and Safety will be an asset.</li></ul><div><br></div><div>WORK EXPERIENCE</div><ul><li>Five (5) years experience in a similar administrative/ corporate secretarial position.</li></ul><div><br></div><div>CORE COMPETENCIES &amp; OTHER SKILLS</div><ul><li>Excellent interpersonal skills and the ability to work unsupervised.</li><li>Strong administrative skills.</li><li>Good logistics and time management.</li><li>Sound oral and writing skills.</li><li>Highly confidential disposition</li></ul>
