Job Description
<span style="font-size: 12pt; font-family: " work="" sans";"="">This job requires the incumbent to provide clerical and records management support to facilitate the operations of the Agency.</span>
Key and Critical Responsibilities
<ul style="margin-top:0in" type="disc"> <li class="MsoNormal">Maintains/updates system of centralized filing for client files and general files of the Agency by opening and closing files, assigning file numbers, updating the Master Index of Files and recording the movement of files. <o:p></o:p></li> <li class="MsoNormal">Archives dated information/material/files in accordance with the Agencys archiving policy.<o:p></o:p></li> <li class="MsoNormal" style="text-align:justify;mso-list:l0 level1 lfo1; tab-stops:list .5in">Researches files to retrieve information requested from internal users. <o:p></o:p></li> <li class="MsoNormal">Records/logs the receipt of incoming and outgoing mails and faxes in the appropriate electronic correspondence registers.<o:p></o:p></li> <li class="MsoNormal">Receives, opens and records all incoming mail/faxes before placing and distributing same in relevant files, as necessary, to the appropriate officers.<o:p></o:p></li> <li class="MsoNormal">Receives and delivers to the appropriate persons mail which are marked private and confidential and/or addressed to a specific person.<o:p></o:p></li> <li class="MsoNormal" style="text-align:justify;mso-list:l0 level1 lfo1; tab-stops:list .5in">Dispatches all outgoing mails.<o:p></o:p></li> <li class="MsoNormal">Performs any other related duties as required.<o:p></o:p></li> </ul>
Key Competency
