Job Description
This position requires the incumbent to perform technical and administrative assistance which includes answering telephone calls, typing documents, creating spreadsheets and presentations, and filing, as well as performing basic departmental and clerical functions.
Key and Critical Responsibilities
Perform clerical tasks, such as maintaining records of requisitions, purchase orders, general tendering processes, procurement of goods and services, writing letters, reports, memoranda, invoices and other documents <div> All functions are to be undertaken in accordance with the Companys policy on procurement and in compliance with the Public Procurement &amp; Disposal of Public Property Act 1 of 2015 </div><div> Operates office equipment and completes general office work such as typing, faxing, photocopying, data entry, shredding, file maintenance, etc. </div><div> Receiving and dispatching documents </div><div> Answering/directing phone calls of the respective department, as well as taking messages </div><div> Sorts and distributes incoming and outgoing mail </div><div> Keeping computer records up to date </div><div> Managing staff appointments </div><div> Setting up meetings and taking minutes </div><div> Perform all other related duties and responsibilities </div><div><br></div>
Key Competencies
Requires strong communication skills both written and oral <div> Computer literate and proficient in computer applications </div><div> Data entry/typing skills </div><div> Knowledge of basic office procedures </div><div> Knowledge of using office equipment such as printers, photocopiers and fax machines, etc. </div><div> Ability to work in a team </div><div><br></div>
