Job Description
The Purchasing Assistant performs a variety of clerical duties to assist in the purchase of materials, equipment, supplies and services.
Key and Critical Responsibilities
Provides administrative/clerical support to the Purchasing Officer, such as filing and preparation of correspondence<div><br></div><div>Ensures that purchasing records are maintained and updated when required; assists with client/creditor/supplier enquiries</div><div><br></div><div>Checks that all received purchase requisitions are filled out accurately and completely, and that accompanying documents comply with the Corporations purchasing policies and procedures</div><div><br></div><div>Assists the Purchasing Officer in the preparation of Purchase Orders and documents; ensures conformance to purchasing policy and procedures</div><div><br></div><div>Assists in the sourcing, evaluating and selecting of preferred purchasing options in terms of quality, price, terms, deliveries and supplier service level (for non-tendered items)</div><div><br></div><div>Assists in the monitoring and coordinating of deliveries of items between suppliers and the Corporation to ensure on time delivery&nbsp;</div><div><br></div><div>Assists in ensuring that items received are in accordance with those specified on the Purchase Order; liaises with TTPost Outlets/Stores department as needed</div><div><br></div><div>Liaises with the accounts department with respect to ensuring timely payment to suppliers</div><div><br></div><div>Visits suppliers on site as needed, to validate product/supplier claims, and to collect deliveries as needed</div><div><br></div><div>Assists in building and maintaining a database of supplier information</div><div><br></div><div>Adheres to health and safety rules, regulations and guidelines</div><div><br></div><div>Performs other related duties that may be required by the job function</div>
Key Competencies
<p>Proficient use of word processing and spreadsheet software applications</p><p><div>Experience in Microsoft Access would be an asset</div><div><br></div><div>Capable of multi-tasking and meeting deadlines</div><div><br></div><div>Excellent oral/written communication skills</div><div><br></div><div>Interpersonal skills/Team player</div><div><br></div><div>Works with minimal supervision</div><div><br></div><div>Pays attention to detail</div><div><br></div><div>Ability to function with a high level of professionalism when interacting with external and internal clients</div></p>
